General Description
G e n e r a l D e s c r i p t i o n
Contact-DK is an integrated voice messaging and call routing system designed to work with Toshiba
Strata® DK and Strata® CTX telephone systems. It provides a full complement of voice messaging
features. The features available include fully integrated Voice Mail, Auto Attendant, FAX Finder, and
Remote Administration.
§ Voice Mail - This feature records a message when a station is busy or not answered and
provides advanced messaging functions.
§ Auto Attendant - This feature automatically answers incoming calls and routes the calls to a
station set or mailbox extension.
§ FAX Finder - The FAX Finder feature detects incoming FAX tone and routes the call to the
extension associated with the FAX machine, eliminating the need for a dedicated outside line.
§ Remote Administration - Contact-DK has a built-in modem that allows for remote diagnostics
and system administration that is available for use at all times.
Contact-DK is packaged entirely on a Printed Circuit Board (PCB) that resides in the host KSU. The
architecture of the system permits Contact-DK to be connected directly to the DK system data bus. This
enables Contact-DK connectivity without the traditional analog interfaces necessary for other voice
processing systems. This means that no RSTU card is needed for Contact-DK. In addition, messages are
stored using high quality 32 KB compression on a hard disk internal to the system.
System installation and initial configuration involves plugging in Contact-DK to an available card slot in
the DK/CTX system and establishing Contact-DK system parameters and subscriber mailboxes. Contact-
DK can be configured and maintained easily using any touch-tone telephone or the optional Graphical
Manager administration and maintenance software package.

System Configurations and Upgrades
Contact-DK is packaged and available in several convenient sizes to meet the needs of small business

users. Starting at 2 ports with 27 hours of storage, other models are 4 ports with 27 hours, and 8 ports
with 27 hours.
Contact-DK can be easily upgraded once installed at a client site. All upgrades can be done remotely.

of DK telephone systems.
Market Profile
The voice messaging market can be segmented into large and small business environments. Due to the
initial high costs associated with early voice messaging products, most sales were to large business
environments. As callers in smaller business and individual callers to large business environments became
familiar with voice messaging, demand moved to the small business. Current requests for low cost voice
messaging products are growing rapidly in the small business environment. This market requirement can
be filled with Contact-DK, a full featured, low cost voice mail solution designed specifically for small and
medium business environments.

Contact-DK, i.e., adding mailboxes, establishing system greetings, setting up message notification, etc.

General Description
User Guide
The User Guide explains to the end user how to access Contact-DK and use it for daily business needs,
including how to retrieve and send messages, transfer callers to a mailbox, and set up message
notification. Ten user guides are included with the original system purchase. Additional packages of 10
may be ordered.
Quick Reference Card
This card is a quick reference to the Contact-DK menu structure. It helps users become more efficient
with voice mail by allowing them to press the correct phone keys ahead of the voice prompts. Ten quick
reference cards are included with the original system purchase. Additional packages of 10 may be

Contact-DK Graphical Manager
The Contact-DK Graphical Manager package moves administration from the telephone to a non-dedicated
PC, providing visibility, keyboard access, and added functions not available in telephone administration.
Graphical Manager's simple drop-down menus and on-line help make it easy for anyone to operate.
Contact-DK System Characteristics
General
Contact-DK is based on DSP technology and consists of a single electronic PCB assembly with an
internal hard disk drive for message and system software storage. The PCB provides processor control,
telephone line interfaces, a real time clock/calendar, a SCSI controller for the hard disk drive, and a built-
in diagnostic test capability.

Physical characteristics or "formfactor" for Contact-DK are identical to that of various DK/CTX KSU

Contact-DK operates entirely off of the DK/CTX data bus and draws power from the telephone system
power supply via the back plane. The system uses little power and can share the same UPS (back-up
power supply or battery back-up) that services the DK/CTX system. Contact-DK additionally has a small
lithium battery to preserve time and date information in the event of a commercial power interruption. All
other system information is written on the hard disk and is unaffected by a power failure.

Digital Back Plane Integration
Contact-DK digitally integrates to the host system via the main "system data bus". This method provides
the most tightly integrated solution available in the market today. Contact-DK installs like an analog
station card or RSTU Card to the host system.
Superior Operation
The digital back plane communication passed between the DK/CTX system and Contact-DK provides for
the most comprehensive integration available. Voice messaging features can make use of the call
handling features provided by the specific DK/CTX KSU. Crisp auto attendant transfers, message waiting

notification, and immediate connection to completed station calls are some examples of improved
operation. The host system plays Music On Hold, if provided.
Access to the digital information allows the Contact-DK voice messaging system to "see" all host system
activity. If configured as an auto attendant, it will quickly answer those lines. The system will monitor
multiple incoming calls to provide access to an operator or the system's auto attendant. With a DSS
configured, the system can monitor the night transfer button and the station lamps to take advantage of the
advanced busy indication. Several company and alternate greetings are available. Contact-DK can
accommodate multiple companies sharing the host telephone system by greeting the caller with the
appropriate company greeting based on the number dialed, i.e., line on the host system.
Most installed telephone systems were designed without voice messaging in mind. Thus, the message
indication light on telephones could only be activated by an attendant. With Contact-DK's digital
integration, the system can send on/off message light indication and/or internal station message waiting to
telephones with or without an associated mailbox.
NOTE: The appropriate station (extension) telephone models are required in order for
the system to support the message waiting light. A message waiting LED is required per
station.
Internal Modem
Contact-DK has an internal modem for remote access and, therefore, requires no external modem or
additional Central Office Line interfaces. This modem can be used to perform diagnostics and remote
administration.

I n s t a l l a t i o n
A typical installation will involve an assessment of the current telephone and line configurations,
customer application requirements, initialization of regular and guest mailboxes, system configuration for

advanced features, and user training.
During initial system initialization, Contact-DK prompts the installer to enter the host system model type
and then self-configures to the appropriate DK/CTX system control unit and software. Some self-
configuration can be overridden by the installer should the proper values not be detected during the initial
configuration process.
After initial system installation, additional user training time may be necessary, depending upon the
number of customer applications, number of system users, and user familiarity with voice mail systems.
Host telephone system programming is minimal.

DTMF System Administration
The system is designed to provide a high level of service with a minimum of intervention. Any person,
including the dealer, who is given system administrator responsibilities can perform System
Administration functions.
System Administration involves three main areas of interest: initial system setup, tailoring to customer
applications, and routine maintenance. Initial configuration of system parameters and mailboxes is
accomplished via any local or remote touch-tone telephone through voice directed prompting.
Custom applications involve the setup of call routing and other system features to support and perform
these business applications. No additional equipment is required.
Maintenance can be accomplished the same way or by using the optional Graphical Manager.

Graphical Manager Administration Interface
Contact-DK Graphical Manager is an optional, yet highly recommended, PC-based software program that
moves administration from the telephone to a non-dedicated PC, providing visibility, keyboard access,
and added functions not available in telephone administration.
Graphical Manager includes a serial cable for local connection. Remote connection requires an internal or
external 2400 baud modem connected to the PC. No other hardware is required since Contact-DK

includes a standard internal modem.
Graphical Manager's simple drop-down menus and on-line help make it easy for anyone to operate. The
voice processing card continues to answer your calls without interruption while using CGM for system

administration.
Most importantly, CGM allows you to access several system setup parameters and administration
procedures, such as: site information, view error log, and passcodes. These special, expanded functions
are not available through the regular telephone administration mode.
In summary, Graphical Manager makes it easier for the servicing dealer or customer to perform
administration and maintenance on Contact-DK via a user-friendly, screen-based program.

Subscriber Access
Subscriber Access allows mailbox owners of the system to log in to their mailboxes. Mailbox owners can
retrieve messages left for them by other callers, send messages to other subscribers, and change mailbox
settings. Access to the system is available by calling the Message Center Access Number in the host

telephone system and entering a passcode from an internal telephone or from outside the company by
pressing [*] at the system greeting.
Telephone Answering
Telephone Answering allows the Auto Attendant to pick up a call when there is no answer at a station and
prompts the caller to leave a message in a mailbox. After leaving a message, the caller has the option of
going back to the Call Routing feature for other options.
Call Routing
Call Routing directs callers where they need to go (stations, transfer-only mailboxes, information-only
mailboxes, offsite telephone numbers, etc.). Transferring to an offsite telephone number is optional and
requires version 3.2 or above telephone system software.
Reserved Mailbox Types
Contact-DK uses different types of mailboxes. The following mailboxes are reserved for system
functions.
Operator - Mailbox 0
Mailbox 0 is reserved for the Operator. Callers will leave messages in this mailbox when:
§ They do not know who to contact.
§ They are calling from a rotary phone and cannot access menus or mailboxes

Name Dialing - Mailbox 9
Mailbox 9 is reserved for the personnel directory. Callers use it to reach a mailbox owner by dialing the
first two letters of their last name.

Contact has a built-in modem used for diagnostics and remote administration.
System Administrator Mailbox (9)99
All system administration functions must be performed using mailbox (9)99. This mailbox is not
associated with a station and does not take messages. You can access this mailbox from any touch-tone
telephone.
General Usage Mailbox Types
Each general usage mailbox type has different characteristics and is used in a variety of ways. These
mailboxes normally correspond to a telephone's extension number.
Extension/Intercom Mailbox
An extension mailbox can be created for each subscriber on the DK/CTX system. Extension mailboxes
have numbers that correspond to the associated station, and are used to transfer calls and take messages.

General Description
Message-Only Mailbox
A message-only mailbox takes messages and turns on the message light of the associated station. Unlike
an extension mailbox, the phone does not ring after the caller enters the station number. Instead, Contact
immediately asks the caller to leave a message. Message-only mailboxes are for people in your organiza-
tion who do not have telephones or who are not in the office very often.
Transfer-Only Mailbox
A transfer-only mailbox is associated with a station but does not take messages. When a caller dials this
station and it is busy or unanswered, Contact returns the caller to the company greeting. No message is
taken. Transfer-only mailboxes are for areas in your company where you need a telephone but don't want
messages taken.
Information-Only Mailbox
An information-only mailbox, also referred to as a bulletin board, is not associated with a specific station
number and does not take messages. Instead, it plays information to callers. The information could be
anything your company would like customers to have but doesn't necessarily need a person to say.
Single-Digit Mailboxes
Mailboxes 1-8 are referred to as single-digit mailboxes. A single-digit mailbox can be any of the four
types of general usage mailboxes. They are most effective when referenced in the company greeting. The
caller needs to enter only one number to receive the information they want or to reach the most frequently
dialed stations.

System Greetings
You can record a company greeting for Contact-DK to use when answering the telephone. There are two
types of greetings: a primary greeting set and an alternate greeting set. Each of these sets has an open
greeting, a closed greeting, and a temporary greeting.

Primary and Alternate Greetings
The Primary greeting set contains the greetings recorded during the installation process. You can record
up to 8 alternate greeting sets (numbered 2 through 9), and assign each set to a different Contact port.
This feature provides flexibility. For example, two or more businesses can share a single telephone
system and Contact unit, or a single business can have specialized greetings for 800 numbers. Assigning
alternate greeting sets to Contact ports is done through the 'System Parameters' menu.
Greetings and the Day/Night Mode
Both the primary and alternate greeting sets have open, closed, and temporary greetings. Selection of
the proper greeting occurs as follows:
§ If the system is set to Day mode, the auto attendant plays the open greeting to callers.
§ If the system is set to Night mode, the auto attendant plays the closed greeting to callers.
§ If the system does not use a night transfer button, the business hours specified during
installation of Contact dictate which greeting to play. Contact plays the open greeting during
open business hours and the closed greeting during closed business hours.
§ If there is a conflict between the night transfer button and the system business hours, the night
transfer button dictates.
10 Contact-DK
General Description
Temporary Greeting
The temporary greeting overrides both the Night Transfer button and System Business Hours and
plays to all callers for the number of days you specify. This is useful as a greeting during the holidays
or during a vacation period where it would only need to last a few days or weeks. A temporary
greeting overrides both the open and closed greetings.
Distribution Lists
Distribution lists can be accessed in the following three ways:
§ Broadcast distribution will be available to every subscriber. This will give the ability to send a
message to every mailbox in the system. The number for this list is 00.
§ System Wide distribution lists will be available through the System Administrator. System
administrators will be able to define up to four (4) lists numbered 01 - 04.
§ Subscriber specific distribution lists will be controlled by the subscriber. Each subscriber will
have the ability to define five (5) lists numbered 05 - 09.
Notification Types
Message Waiting Indication
The telephone's message waiting light is illuminated when a subscriber receives a new message.
External Notification
A subscriber can configure the system to call an outside number, a message pager, a tone-only pager, or a
digital pager when a message is recorded in the user mailbox. When enabled, it can call for every message

or only when the message is marked urgent.
Unlimited Message Length

Messages are unlimited in length by default. However, the system administrator can limit messages to any
length.
Passcode Protected Mailboxes
All subscriber mailboxes are passcode protected. Users can set their own passcodes.
Message Qualifiers
Messages can be marked with any of the following qualifiers.
§ Urgent which can also trigger outside notification
§ Private to prevent forwarding within the system
§ Certified to automatically receive a message indicating that the recipient listened to the
message.
Automatic Message Removal
The system automatically deletes messages after 15 days of inactivity. The number of days to keep
messages is configurable with Graphical Manager.
Date and Time Stamp
Each message includes a date and time packet, which plays prior to the message content.

General Description
Sender Identifications
Indicates the internal subscriber who left a message in a mailbox.
Message Forwarding
Allows for messages received to be forwarded to other subscribers or distribution lists.
Message Reply
Subscribers can reply to messages received from other internal subscribers by dialing a single key stroke.
Immediate Disconnect via D Tone Recognition
The system receives all call status information from the telephone system, providing for immediate
disconnect notification. This frees up ports more quickly to be used by other subscribers and outside
callers.
Message Rewind, Pause, Fast Forward
A subscriber can skip forward, pause, and rewind messages using touch-tone commands.
Alphabetical Directory Listing Transfer to Desired Extension
When a caller does not know the extension of a subscriber, he or she may access the subscriber directory,
and enter the DTMF digits representing the first two digits of the persons last or first name.
On-The-Phone Notification
