1 - About This Document
Welcome to ContactTM Graphical Manager, the software that allows you, the System Administrator,
to easily modify your company's voice mail system at your computer screen.
Easy to use menus display on your screen allowing you to perform Contact administrative tasks such
as:
§ Adding mailboxes to the voice mail system.
§ Changing information for existing mailboxes.
§ Assigning different system greetings.
§ Setting up Message Notification.
§ Displaying the directory of mailboxes.
§ Performing administration and diagnostic procedures remotely.
Because Contact Graphical Manager runs on your PC, you can copy your current mailbox and
system configurations to disk. This eliminates the common concern about data loss due to a system
failure. In the unlikely event that the Contact system fails, you can easily restore it to its most
recently backed up state by copying the configuration from the disk into Contact.
Intended Audience
This document was written to assist the person responsible for administration of the Contact voice
mail system.
Preliminaries
I&M
First, the Contact voice mail system should already be installed. The Graphical Manager program
does not provide a procedure to install Contact for the first time. Use it instead to customize your
voice mail system after installation.

Second, you should have read the Contact System Administration Manual. The System
Administration manual is your primary source for understanding how Contact operates with your
key system.
Last, since Graphical Manager is a DOS-based interface, you must have a basic understanding of
DOS and your PC hardware. If your configuration requires a modem, you should have access to
your modem's manual.

2 - Connecting Your PC To Contact
Run Contact Graphical Manager directly from DOS on your PC. If you are running locally, a custom
cable connects your PC to the Contact circuit board in your company's key system. If you are
running remotely, your PC connects to a modem, which allows you to communicate to Contact using
your telephone system. This modem can be either internal or external to your PC.
Before you begin, you need to satisfy the following hardware and software requirements.

§ IBM or IBM-compatible 286 computer (PC) or higher with a minimum of 2 MB of disk
space and 640 KB of memory (RAM).
§ VGA monitor (color or monochrome).
§ Contact voice mail installed in the key system.

For a local connection (above), you need...

The following software must be resident on your PC to install and run Contact Graphical Manager:

process.

The RS-232 cable connects to a serial port on
the PC. The serial port, identified as a male
RS-232 connector (with pins protruding), can be
in either of the indicated locations. An RS-232
connector is shown below.

RS-232 Cable
An RS-232 connector. There are 9 pins on the connector: 5 on
one side and 4 on the other. If pins are protruding, it is a 'male'
connector. If there are socket inserts, then it is a 'female'
connector. The RS-232 cable wil always be connected to the
'male' serial port on your PC.

Connecting Your PC to Contact
Local Connection
If you will be running Contact Graphical Manager locally, with Contact connected directly to your
PC, follow these steps, referencing the "Local Connection to Contact (back view) figure above.
1. Plug the D9 end of the custom RS-232 cable into the serial port on the back of your
computer. Use the 9 to 25 pin adapter if necessary.
2. Plug the other end of the cable into the Micro-DIN connector on Contact.
Remote Connection
If you are not able to directly connect the PC from which you will run Contact Graphical Manager to
your Contact board, you can opt to connect your PC to an internal or external modem. Then dial in
to Contact using the phone line. Refer to the "Remote Connection to Contact" figure for an
illustration of the proper connection for remote access to Contact.
1. Plug a standard RS-232 cable between your modem and an available serial port on the
back of your computer. Do not use the custom RS-232 cable supplied with Contact.
2. Verify that Contact is installed in the remote key system.

3 - Installing Contact Graphical
Manager
We recommend that you install the Contact Graphical Manager program on your PC's hard drive to
optimize the software processing time. You do not need to shut down your voice mail system while
installing Contact Graphical Manager on your computer.
To install the Contact Graphical Manager software on your PC's hard drive:
1. Place the disk labeled CGM into your 3 1/2" floppy drive.
2. At the DOS prompt, change to the drive in which you placed the disk during step #1. For
example:
C>b: [Enter]
3. At the DOS prompt, run the install program.
B>install [Enter]
The installation of Contact Graphical Manager on your hard drive will continue automatically until
completion. You may also see a notification of software or documentation changes display on your
screen. Read this carefully.
Installation is complete when the DOS prompt returns to your screen. You can now use Contact
Graphical Manager to maintain your company's voice mail system.

4 - Starting Contact Graphical
Manager
Follow the steps below to start the Contact Graphical Manager program on your PC.
1. Using DOS, change to the CGM directory created on your hard drive during the installation
process.

2. At your DOS prompt, run the CGM program.

Your screen now displays an Initial Menu Bar. This menu allows you to make port setup changes,
log in to Contact as a System Administrator, or return to the DOS prompt.
The figure below illustrates the initial menu bar. Most often, you will choose the 'Log In' option
from the `File' menu to make changes to Contact.

Screen Overview
The next several pages show some typical screens used in Contact Graphical Manager. The terms
used for the different screen components are also defined.

The screens shown here are for a UST 1424DK and DK424 key system.
Although your key system may be a different model, your screens within
Contact Graphical Manager are the same.

Main Menu and drop-down menu
Main Menu Bar - This menu bar is the menu across the top of your screen. It displays when you
first log in to Contact but have not yet selected an option from any of the drop-down menus.
Drop-down Menus - These vertical menu listings display for all options you choose on horizontal
menu bars. They provide you with additional choices related to the option you selected on the menu
bar.

Screen - This term applies to the full size window consisting of the components described below.
Window - A window is a screen component that displays after you select an option from a drop-
down menu. Windows normally provide fields for you to fill in to make changes to Contact.
Popup Menu - This component displays when you press [F2] while on an entry field that contains a
limited number of predetermined options. You can tell if a popup menu exists for a highlighted field

by looking at field help. Using a mouse, you can double click on the field to display a popup menu
when available.
Contact Status Box - Whenever you log in to Contact, an information window displays at the
bottom of your screen. It is updated periodically to display the status of every port on your Contact
unit, the current date and time, and the message storage capacity. Static system and site information
also displays.
Other reference information displayed on the Contact status box includes your key system type and
the software version number. It will also include the name of your company if you entered it in the
"Site Information" window.
Close Box Clicking the Close Box will close the current window.
Menu Option - The individual selection you make on a menu bar, drop-down menu, or popup menu
is a menu option. See "Menu Selection and Movement" and "Window Selection and Movement"
later in this section of the guide for instructions on choosing options.
Field - This is the area of a window in which you enter or select data. Typically, entry fields are a
different color than the rest of the window.
N O T E
If you enter invalid data into a field, you will hear a beep. CGM does not
allow you to move off the field or confirm the window until you enter a
correct value.
Field Help - On-line help is available automatically for every field located in a window. The line of
help text that displays across the bottom row of your entry screen provides assistance in completing
the highlighted field.
Button - This rectangular symbol lets you make window choices with a mouse rather than a

keyboard. Most important are the OK and CANCEL buttons that allow you to confirm or not
confirm the changes made to a particular window.
Button Help - An explanation of each button choice appears below the window. Typically, you
choose the OK button to perform an action, and you choose CANCEL to abandon your request

or return to the previous screen.
Help Key or Button - You can find additional information about the fields in a particular window
by pressing [F1] or selecting Help.
N O T E
While viewing a help window, CGM and Contact are not interacting. If
the help window displays for more than 5 minutes, Contact disconnects
CGM and drops the communications link.

Scroll Bars - As shown above, scroll bars display at the right of screens that can contain more data
than fits in one window. Use the [], [], [Page Up], and [Page Down] keys to view all available
data. Using a mouse, point and click directly on the scroll bar to view more data.
For example, the MAILBOX DIRECTORY window allows you to see additional mailbox numbers
if Contact contains more than can display in one window.
Close Box To close a screen, click the box in the upper left corner of the screen.

Messages - Messages display in boxes, as shown above. Three kinds of messages can result when
updating Contact through Contact Graphical Manager: warning messages, error messages, and
information messages.
Section 6, System Messages, provides a numerical listing of the messages you may encounter.
N O T E
You must acknowledge the message by clicking on OK. Some message
boxes give you other options to click on, such as Esc, CANCEL, or
RETRY, allowing you to either continue or back out of the procedure.

Graphical Manager.

Movement and Selection Within Windows
Within a window, you have several alternatives for moving among the fields and for making button
selections. The following table lists these alternatives.

Once you start Contact Graphical Manager, the initial menu bar displays. From this menu, you can

Exit to DOS è Select this option from the 'Exit' drop-down menu to log out of Contact Graphical
Manager. From the DOS prompt that displays on your screen, type CGM again to use Contact

Graphical Manager to make changes to Contact.
DOS Shell è Select this option from the 'Exit' drop-down menu to temporarily return to the DOS
prompt. When you select 'DOS Shell', Contact Graphical Manager continues to run in the
background on your PC. Therefore, an error occurs if you attempt to run Contact Graphical Manager

again from this prompt.
To return to Contact Graphical Manager, type EXIT at the DOS prompt.
Options
Communications è Select this option from the 'Options' drop-down menu to display the
SERIAL PORT SETUP window.

Serial Port Setup window
Use this window to identify the serial port that connects your PC to Contact or to a modem. Verify
the information on this screen. If you change the port, you need to reboot the system. Once you
select the correct port, you do not have to select it again unless you change the connection to the
other serial port. Graphical Manager saves the change permanently even after you exit the program.
N O T E
Access this window only if you are using a modem to establish a remote
connection between your PC and Contact.

Use the default values to initialize a Hayes Optima 2400 modem. For all other modems, refer to the
manufacturer's manual to determine these settings.

1. Complete the fields in the Serial Port Setup window using the following table.

Enter as follows:
Command Prefix
Enter up to 25 alphanumeric characters to indicate the modem's
command initiation string. Default = AT
Command Suffix
Enter up to 25 alphanumeric characters to indicate the modem's
command termination string. Default = ^M (Ctrl-M)
Dial Prefix
Enter up to 25 alphanumeric characters to indicate the modem's dial
command. Default = ATDT
Dial Suffix
Enter up to 25 alphanumeric characters to indicate the modem's dial
termination. The Hayes modem has no such string so the field is blank
by default.
Dial Continuation
Enter up to 25 alphanumeric characters to indicate the modem's dial
continuation string. This tells the modem that more touch tones will
follow before the modem can switch to data mode. Default = ;
Hangup Command
Enter up to 25 alphanumeric characters to indicate the modem's
disconnect command. Default = ~~~+++~~~H0
Valid Response
Enter up to 25 alphanumeric characters that signal when a command has
been acknowledged. Default = OK
Initialization String
Enter up to 138 characters before dialing Contact by modem.
Include the following commands to initialize your modem:

Set DTMF duration to 80 msec. Default is S11=80
Provide basic call progress result codes, connection speed, busy signal
detection, and dialtone detection. Default = X4

Return negotiation progress messages. Default = W1
Return result codes. Default = Q0
Return result code messages in English words.
Default = V1
Speaker should be on during auto dialing and until carrier detect.
Default = M1
Track the status of carrier detect; DCD indicates on-line carrier detect.
Default = &C1
On an ON -> OFF transition of DTR, disconnect and return to command
state. Default = &D2
Load in the default Press the space bar while in the check box or use a mouse to click in the

Optima 2400 modem.

Once you enter information into the fields, you do not have to enter it again unless you connect a
different type of modem to your computer. Graphical Manager saves the changes permanently even
after you exit the program.
File Log In
Select the 'Log In' option from the `File' drop-down menu.
N O T E
Only one user can log in to Contact at any given time. Consequently, if
someone logs in remotely, you cannot log in at the same time using the
local connection.

The "Login" window
?
You may log in to the Contact system locally or remotely. You may log in locally only if your PC's
serial cable connects directly to Contact. If your PC connects remotely to Contact over a modem,
you will need to enter the Phone Number to reach the Contact system.
You must know the system administrator's passcode to perform administrative-level maintenance to
the Contact system. The default passcode is [123] but may be different if someone changed it for
security reasons. If you are unable to perform a local log in, check with your Contact dealer.

Logging in Locally
If your PC's serial cable connects directly to Contact, you may log in locally.
To log in locally:
1. Enter the passcode in the Enter Passcode field.
2. Select OK to log in to Contact.

Type the 3 to 6-digit number assigned as the system
administrator's passcode. For security reasons, you
will not see the passcode characters display as you
type.
Logging in Remotely
If your PC connects remotely to Contact over a modem, you will need to enter the Phone Number
to reach the Contact system.
IMPORTANT Logging in Remotely
§ Only one user can log in to Contact at any given time. Consequently, if someone logs in using
a local connection, you cannot log in at the same time using the remote connection.
§ In order for you to access Contact remotely, the auto attendant must answer the telephone.
You may want to do the following before attempting a remote login:
§ Make sure at least one outside line is set to ring Contact. Call your Contact dealer if you need

help with this.
§ Notify the receptionist at the remote location to make sure nobody answers your call.

To log in remotely:
1. Enter the passcode in the Enter Passcode field.
2. Enter the telephone number to reach Contact in the Phone Number field.
3. Select OK to log in to Contact.

Type the 3 to 6-digit number assigned as the system
administrator's passcode. For security reasons, you will
not see the passcode characters display as you type.
Phone Number
Type up to 30 digits for the telephone number to reach
the Contact system remotely. Valid digits include 1-9,
and the [*], [#], and [,] keys.
If you have a pulse phone, precede the phone number
with a `P'.
4. Two processing indicators display followed by a new screen:

5. Press [OK] when you hear the auto attendant's voice.
One of the following events will take place:
o Two additional processing indicators display followed by Graphical Manager's
Main Menu bar.

N O T E
If you cannot hear the auto attendant through your modem, consult your
modem manual for a command to increase the volume. If a volume
command exists, add it to the Initialization String and log in to Contact
again.
You have successfully logged in to Contact on the remote system.
§ You reach the Operator. This means that all Contact ports are in use on the remote system.
§ Hang up and try again later.

5 - Maintaining Contact
Once you have logged in to Contact, you have several options available to you. These options
display across the top of your screen on the main menu bar, which is similar to the initial menu bar
that displayed when you first entered Contact Graphical Manager. The screen below is the Main
Menu bar.

Logout è Select this option to log out of Contact. The initial menu bar
redisplays. You can log back in to Contact at any time by choosing 'Log
In' from the initial menu bar.
The following options are used primarily by technical support purposes.
They allow you to work with DOS text files.
New è Select this option to create a new DOS text file.
Open ... è Select this option to open a DOS text file.

Mailboxes è Select this option indicate whether the KSU is programmed for tone or voice first
intercom signaling, whether or not Contact should use the day/night mode and advanced busy
information provided by the DSS, and whether to use first or last name for the Mailbox directory.
System-Mailboxes
The Mailboxes option allows you to view the Mailbox Directory, and add,
edit or delete mailboxes.
Mailbox Directory
Directory è Select this option from the `Mailboxes' drop-down menu to view a complete list of
all existing mailboxes. The Operation Progress screen displays, which indicates that the system is
collecting information.

Adding Mailboxes
Add è Adding a mailbox is a two-step process. The first window that displays when you select this
option from the 'Mailboxes' drop-down menu is labeled ADD MAILBOX.

Extension:This is the typical mailbox type associated with an extension. Contact takes messages for a busy or unanswered extension.
Information:Specifies that the mailbox number will serve only as a source of information for the caller. For example, you could set up a mailbox on Contact to recite the company's business hours to the caller.
Message Only:Specifies that Contact is not to allow a call to ring the extension. Contact immediately prompts the caller to leave a message.
Transfer Only:Specifies that Contact is not to take messages if the associated extension is busy or unanswered. If necessary, Contact directs the caller to enter another extension or to

file on your PC's hard drive or to a file on a removable disk.

o Look at the port lights on the Contact board. All port lights should be off to ensure

o Holding on to the pull handle, gently pull the Contact circuit board until it

o Then, apply firm pressure to reconnect the board to the key system.

6 - Graphical Manager Reference
Data
Under normal conditions, Contact and Contact Graphical Manager are easy to set up and use.
However, three types of system messages may display on your screen during operation. They
include error, warning, and information messages, and they display within boxes on your screen.
§ Error boxes display when there is a problem with communication between the PC and
Contact or there is an error with the data you entered. You must resolve an error condition
before continuing with Contact Graphical Manager.
§ Warning boxes alert you to a particular condition within Contact Graphical Manager. These
messages are less serious in nature than error messages and do not require action to proceed
with Contact Graphical Manager.
§ Information boxes provide additional status information.
If a message displays, refer to the message list on page 6-44. Messages are listed numerically
followed by an explanation of the message with the recommended action, if any.
Other Problems

7 - Glossary
Administrator Mailbox
A special mailbox reserved for System Administration functions. It can only be accessed by the
System Administrator.
Auto Attendant
An optional voice mail feature that uses an automated device to answer and transfer calls.
Backup
The process that copies the data stored on Contact to a disk file on the PC.
Directory
A listing of subscribers' names.
Extension
The telephone number assigned to a specific station on the key system. Also known as an intercom
number.
Key System
A telephone system in which the telephones have multiple buttons permitting the user to select
outgoing or incoming CO lines directly.
Mailbox
Similar to a postal mailbox, except that callers use the telephone to record voice messages and
subscribers use the telephone to listen to their messages.

MWI
Message Waiting Indicator - A way of notifying subscribers that they have messages. A light on a
subscriber's telephone illuminates when a caller leaves a message.
Notification
?
A feature of Contact that can notify subscribers at alternate locations of waiting messages. Alternate
locations include another internal station, an off-site telephone, a cellular telephone, or a pager.
Passcode
The 3 to 6-digit security number that each subscriber uses to access their mailbox.
Port
Seen as a light on the Contact printed circuit board, each port can supervise one telephone call.
Contact is available in a two-port, four-port, six-port, or eight-port model. The more ports you have,
the more simultaneous calls Contact can handle.
Port Status
A section of the Status Box at the bottom of your screen. It shows the state of each port on the
Contact system. The status of a port may be "Waiting" or in some other state of activity.
Restore
The process that copies the backup data stored on disk to Contact for the purpose of recovering lost
data.

An individual, department, or group that has a voice mailbox in Contact.
System Administrator
The individual responsible for maintaining the Contact system at your site.
Upgrade
The process that updates your Contact software using a designated file(s) on disk.
Voice Mail
A system designed for recording messages for people using the telephone.
